Background

You are a professional, outgoing person who can liaise with different audiences and cultures (including senior management, vendors, and business partners in various other departments), handle difficult and stressful situations and respond effectively to requests from all levels of management. You are collaborative and an open-minded and outstanding team player with dedication and passion

Task and Responsibilites:

Correspondence and screening of incoming mail and prioritizing accordingly Diary management including prioritizing of conflicting priorities, Implementation and maintenance of appropriate tools to support the Project team communication and information sharing (touchpoint, gdrive etc.), ensuring an appropriate information flow for the project team, with stakeholders and other functions, Preparation of PowerPoint presentations, Excel worksheets, and other reports,  Handling of confidential HR topics and coordination of interviews, Handling of all administrative aspects of spend management system-ARIBA (contracts, purchase orders, direct invoicing), Organization and coordination of internal and external meetings.These include, team meetings, workshops, video and audio-conferences; furthermore global F2F meetings incl. invitations, pre-read materials and logistics, Business travel coordination and processing Travel expense claims. Working/supporting in initiatives, e.g surveys, communication.  

You must have these qualifications :

Commercial diploma (e.g. commercial apprenticeship or commercial college) or an equivalent qualification, 3- 5 years’ work experience and practical experience in a similar position Working experience in an international environment as an administrative assistant, basic understanding of the Healthcare and/or IT industry, Strong communication skills, experience working in a virtual environment and with different hierarchy levels, Demonstrated strong time management, organization and prioritization skills with proven ability to work independently and ability to manage multiple, often competing, priorities through to successful conclusion using analytical, reasoning and problem solving skills, trong working knowledge of computer programs including Microsoft Office programs, Ariba, Google mail and calendar, Perfect English skills written and oral
